Dispatch handoff checklist

What has to be true and what the driver needs to have before a booked load becomes a dispatched load.

When to use: Run by the dispatcher when assigning a load to a driver, before the driver heads to the pickup.

Load is ready to assign

  • Rate confirmation is signed and on the load.
  • Pickup appointment is set (or a first-come window is confirmed).
  • Delivery appointment is set or a request is in.
  • Any special requirements (temp, hazmat, tarp, team) are noted on the load.

Driver and truck fit the load

  • Driver has enough available hours to reach the pickup and make the first move legally.
  • Truck and trailer type match the load.
  • Driver’s current location and the deadhead to pickup are accounted for in the plan.
  • Home-time or other constraints do not conflict with the delivery date.

Driver has what they need

  • Pickup and delivery addresses, contacts, and hours.
  • Appointment and PO numbers.
  • Commodity, weight, and piece count expected.
  • Blank BOL or shipper paperwork instructions.
  • Who to call for a problem at pickup, at delivery, and after hours.
  • How and when to send status updates and the POD.

The handoff is the point where re-entry creeps in. The details the driver gets here should be the same record billing pulls from later — not retyped.
